Creating a Bulletin (Leadership Only)
Bulletins are the primary communication tool for sharing critical, time-sensitive information with your Safety Team. This guide covers how to create and publish bulletins effectively.
Who Can Create Bulletins?
- Safety Leadership
- Organization Admins
Accessing the Bulletin Creator
- Navigate to Bulletins in the sidebar.
- Click the New Bulletin (or +) button.
- The bulletin editor opens.
Bulletin Fields
| Field | Required | Description |
|---|---|---|
| Title | ✅ Yes | Brief, descriptive headline |
| Priority | ✅ Yes | Critical, Warning, or Info |
| Body | ✅ Yes | Main content of the bulletin |
| Expiration Date | Optional | When the bulletin should auto-archive |
| Attachments | Optional | PDF or image files |
| Person of Concern | Optional | Link to a POC profile |
| Restricted | Optional | Limit visibility to Leadership only |
Priority Levels
Choose the appropriate priority based on urgency:
| Priority | Use For | Behavior |
|---|---|---|
| 🔴 Critical | Immediate threats, active POCs | Pins to top, requires acknowledgement, sends notification |
| 🟡 Warning | Operational hazards, equipment issues | Standard visibility, passive tracking |
| 🔵 Info | Administrative updates, weekly briefings | Standard visibility, passive tracking |
Reserve Critical priority for genuine emergencies. Overuse reduces its effectiveness.
Step-by-Step Creation
1. Set the Priority
Select the appropriate priority level first — this determines the bulletin’s behavior.
2. Write a Clear Title
- Be specific: “Parking Lot A Closed Sunday” not “FYI”
- Include the key information upfront
- Keep it scannable
3. Compose the Body
Write the full details:
- What happened or is happening
- When it’s relevant (dates/times)
- Where geographically (if applicable)
- What action to take (if any)
4. Set Expiration (Optional)
If the bulletin is time-limited:
- Set an expiration date
- After this date, the bulletin archives automatically
5. Add Attachments (Optional)
Attach supporting documents:
- PDF — Weekly briefings, protective orders, reference documents
- Images — Surveillance photos, maps, diagrams
6. Link a POC (Optional)
If the bulletin relates to a Person of Concern:
- Search and select the POC profile
- The bulletin will display their photo and status
7. Restrict Visibility (Optional)
For sensitive internal matters:
- Enable “Leadership Only” restriction
- Standard members won’t see this bulletin
8. Publish
Click Create or Publish to make the bulletin live.
Critical Bulletin Acknowledgements
For Critical priority bulletins:
- Every team member must explicitly acknowledge
- Leadership can track acknowledgement percentage
- Members cannot dismiss critical bulletins without acknowledging
The Leadership Dashboard shows acknowledgement coverage for active Critical bulletins.
Editing a Bulletin
After publishing:
- Open the bulletin.
- Click Edit.
- Make changes.
- Save.
Editing a Critical bulletin does not reset acknowledgements. Create a new bulletin if members need to re-acknowledge.
Archiving a Bulletin
To remove a bulletin from active view:
- Open the bulletin.
- Click Archive (or set an expiration date).
- The bulletin moves to the archive but is not deleted.
Best Practices
- Be Concise — Get to the point quickly.
- Use Correct Priority — Match urgency to content.
- Include Attachments — Visual references improve recognition.
- Set Expirations — Prevent stale bulletins from cluttering feeds.
- Link POCs — Helps team quickly access full profiles.
