Uploading Proof Documents

When you complete a training, certification, or other requirement, you may need to upload proof to have it marked as valid. This guide walks you through the upload process.

When to Upload

You should upload a proof document when:

  • You’ve completed a new certification (e.g., CPR card, firearms qualification).
  • An existing item has expired and you’ve renewed it.
  • Leadership has requested documentation for a specific requirement.

[!NOTE] Applicants can upload their Profile Photo directly from the Applicant Dashboard. Other onboarding steps (like Background Checks) must be updated by a Coordinator.

How to Upload

  1. Navigate to My Profile from the sidebar.
  2. Scroll to the Compliance section.
  3. Find the requirement you want to update.
  4. Click the Upload button next to the item.
  5. Select your file from your device.
  6. Click Submit to upload.

[!NOTE] Supported file types are typically PDF, JPG, and PNG. Maximum file size is usually 10MB.

What Happens Next

After you upload a document:

  1. The item status changes to Pending Review.
  2. Your leadership team is notified.
  3. A coordinator or safety leader will review your submission.
  4. Once approved, the status changes to Valid and your readiness is updated.

[!IMPORTANT] Your readiness state may remain Orange or Yellow until leadership approves the document.

Tips for Successful Uploads

  • Ensure the document is legible and shows all relevant information.
  • Include your name and date of completion on the document if possible.
  • For certifications, upload both front and back if applicable.
  • If your upload is rejected, read the feedback provided and re-submit.
