Uploading Proof Documents
When you complete a training, certification, or other requirement, you may need to upload proof to have it marked as valid. This guide walks you through the upload process.
When to Upload
You should upload a proof document when:
- You’ve completed a new certification (e.g., CPR card, firearms qualification).
- An existing item has expired and you’ve renewed it.
- Leadership has requested documentation for a specific requirement.
[!NOTE] Applicants can upload their Profile Photo directly from the Applicant Dashboard. Other onboarding steps (like Background Checks) must be updated by a Coordinator.
How to Upload
- Navigate to My Profile from the sidebar.
- Scroll to the Compliance section.
- Find the requirement you want to update.
- Click the Upload button next to the item.
- Select your file from your device.
- Click Submit to upload.
[!NOTE] Supported file types are typically PDF, JPG, and PNG. Maximum file size is usually 10MB.
What Happens Next
After you upload a document:
- The item status changes to Pending Review.
- Your leadership team is notified.
- A coordinator or safety leader will review your submission.
- Once approved, the status changes to Valid and your readiness is updated.
[!IMPORTANT] Your readiness state may remain Orange or Yellow until leadership approves the document.
Tips for Successful Uploads
- Ensure the document is legible and shows all relevant information.
- Include your name and date of completion on the document if possible.
- For certifications, upload both front and back if applicable.
- If your upload is rejected, read the feedback provided and re-submit.
