Uploading Proof Documents

When you complete a training, certification, or other requirement, you may need to upload proof to have it marked as valid. This guide walks you through the upload process.

When to Upload

You should upload a proof document when:

  • You have completed a new certification (e.g., CPR card, firearms qualification).
  • An existing item has expired and you have renewed it.
  • Leadership has requested documentation for a specific requirement.

Applicants can upload their Profile Photo directly from the Applicant Dashboard. Other onboarding steps (like Background Checks) must be updated by a Coordinator.

How to Upload

  1. Navigate to Compliance in the sidebar.
  2. Find the requirement you want to update.
  3. Click the Upload button next to the item.

Upload Dialog

The upload dialog includes the following fields:

Completed / Issued DateYesThe date you completed or were issued the certification.
Expiration DateNoWhen the item expires. If you leave this blank, the platform calculates it automatically from the requirement’s renewal period.
Proof FileYesUpload a PDF or image file. A preview of the file is shown after you select it.
Note to AdminsNoAn optional message for your leadership reviewing the submission.
  1. Click Save to submit, or Cancel to discard.

Your uploaded files are securely encrypted when stored on the platform.

What Happens Next

After you upload a document:

  • Items requiring proof review: The status changes to Pending Review. Your submission is visible to leadership in the Command Center approvals queue. Once approved, the status changes to Valid and your readiness is updated.
  • Date-tracking-only items: If the requirement only tracks a date (no proof document needed), the item goes directly to Valid upon submission.

Your readiness state may remain Orange or Yellow until leadership approves the document.

Permissions

Some compliance items can only be updated by leadership based on your organization’s settings. If you do not see an Upload button for a particular requirement, it may be a leadership-managed item.

Tips for Successful Uploads

  • Ensure the document is legible and shows all relevant information.
  • Include your name and date of completion on the document if possible.
  • For certifications, upload both front and back if applicable.
  • If your upload is rejected, read the feedback provided and re-submit.
