Applicant Onboarding

Welcome to the N4 Safety platform. You have been invited to join your church’s Safety Team, and this guide will walk you through every step of the onboarding process.

As an applicant, you will see a simplified dashboard focused entirely on completing your onboarding requirements. Your sidebar shows only My Onboarding — this is intentional. Once you have completed all onboarding steps and leadership has approved your membership, you will gain full access to the platform.

This page is written specifically for applicants going through the onboarding process. If you are a Coordinator or Organization Admin managing applicants, see the Applicant Pipeline guide instead.

Your Onboarding Dashboard

When you log in, you will see your onboarding dashboard with three summary cards across the top:

Pending ReviewSteps you have submitted that are awaiting leadership approval
CompletedSteps that have been verified and marked complete

Below the summary cards, you will find your step cards organized by type. Questionnaires appear first, followed by document uploads, policy acknowledgments, and manual verifications. Each card shows:

  • Step name — what the requirement is
  • Track — which compliance track it belongs to
  • Status badge — your current progress on this step
  • Description — additional detail about what is needed
  • Action button — when applicable, the button you use to begin or continue the step

Step Types

Member Application (Questionnaire)

Your organization may require you to complete a Member Application — a dynamic questionnaire configured by your church’s leadership. You will see a “Begin Application” button on the card.

When filling out the application:

  • Your progress auto-saves every 3 seconds. You do not need to worry about losing your work.
  • You can close the form and return later at any time. Your answers will be right where you left them.
  • A progress bar at the top tracks how much of the form you have completed.
  • When you are finished, click Submit. Your status changes to Pending Review, and leadership will be notified.

Document Upload

Some onboarding steps require documents — for example, a Profile Photo. Depending on how your organization has configured the step:

  • You may see an upload button directly on the card, allowing you to submit the document yourself.
  • Other document steps may be handled by your Coordinator, in which case no action is needed from you.

Policy Acknowledgment

For policy steps, you will see a “Review & Sign” button. Clicking it opens the full policy text. Read through the policy carefully, then acknowledge it to mark the step as complete.

Manual Verification

Some steps — such as a Background Check or Team Interview — are handled entirely by your Coordinator or leadership. There is no action needed from you on these items. The status will update automatically once leadership marks the verification as complete.

Understanding Status Badges

Each step on your dashboard displays a status badge. Here is what each one means:

Pending ReviewYou have submitted this step; leadership is reviewing it
ValidVerified and complete — no further action needed
Expiring / ExpiredNeeds resubmission (rare during initial onboarding)

If Your Application Is Returned

Leadership may return your Member Application for revision. If this happens:

  • You will see a red banner at the top of the application form showing the reason it was returned and the date.
  • Your previous answers are preserved — you are revising your existing responses, not starting from scratch.
  • Make the requested changes and resubmit when you are ready.

Read the return reason carefully. Leadership has taken the time to explain what needs attention. Address those specific points before resubmitting.

What Happens After Onboarding

Once every item on your dashboard has reached Valid status, you are ready to graduate:

  1. Leadership reviews your completed items and confirms everything is in order.
  2. You are promoted from Applicant to Safety Team Member.
  3. Full platform access is granted — you will see the complete sidebar with scheduling, roster, bulletins, compliance tracking, incident reporting, and more.

From that point forward, you are a serving member of The Flock’s safety ministry. Welcome aboard.
