Acknowledging Policies

Required policies must be acknowledged by all active team members. Here’s how the acknowledgement process works.

Why Acknowledge?

Policy acknowledgement serves several purposes:

  • Confirms understanding — You’ve read and understood the content.
  • Creates a record — Timestamped proof of your commitment.
  • Maintains compliance — Your readiness status depends on it.

Unacknowledged required policies will turn your compliance status Orange (Action Required).

How to Acknowledge

Step 1: Open the Policy

Navigate to Policies and click on the policy you need to acknowledge.

Step 2: Read the Document

Review the full policy content. You can:

  • View it in-browser (PDF/images)
  • Download for offline reading

Step 3: Complete the Signature

At the bottom of the policy page, you’ll find the acknowledgement form:

  1. Checkbox — Check the box confirming you’ve read and understood the policy.
  2. Type Your Full Name — Enter your legal name as your signature.
  3. Click “Acknowledge” — Submit your acknowledgement.

The signature must match your name on file. This creates a binding record of your acknowledgement.

Step 4: Confirmation

After submitting:

  • The policy shows your acknowledgement date.
  • Your compliance status updates (if this was blocking).
  • Leadership receives a record of your acknowledgement.

What Gets Recorded?

Each acknowledgement captures:

DataDescription
Your NameThe typed signature you entered.
TimestampExact date and time.
Policy VersionThe specific version you acknowledged.
IP AddressFor audit purposes (not displayed to you).

Annual Renewal

Some policies require annual re-acknowledgement:

  • Even if the policy hasn’t changed, you may need to sign again.
  • You’ll see a notice that renewal is required.
  • The process is the same as the initial acknowledgement.

If you see “Renewal Required” on a policy, acknowledge it promptly to maintain your Green status.

Finding Policies That Need Action

Quick ways to identify policies requiring acknowledgement:

  • Dashboard — The “Action Required” card lists pending policies.
  • Policies Page — Look for items marked “Not Acknowledged” or “Renewal Required”.
  • Status Color — Orange status often means policy acknowledgements are due.
