Acknowledging Policies
Required policies must be acknowledged by all active team members. Here’s how the acknowledgement process works.
Why Acknowledge?
Policy acknowledgement serves several purposes:
- Confirms understanding — You’ve read and understood the content.
- Creates a record — Timestamped proof of your commitment.
- Maintains compliance — Your readiness status depends on it.
Unacknowledged required policies will turn your compliance status Orange (Action Required).
How to Acknowledge
Step 1: Open the Policy
Navigate to Policies and click on the policy you need to acknowledge.
Step 2: Read the Document
Review the full policy content. You can:
- View it in-browser (PDF/images)
- Download for offline reading
Step 3: Complete the Signature
At the bottom of the policy page, you’ll find the acknowledgement form:
- Checkbox — Check the box confirming you’ve read and understood the policy.
- Type Your Full Name — Enter your legal name as your signature.
- Click “Acknowledge” — Submit your acknowledgement.
The signature must match your name on file. This creates a binding record of your acknowledgement.
Step 4: Confirmation
After submitting:
- The policy shows your acknowledgement date.
- Your compliance status updates (if this was blocking).
- Leadership receives a record of your acknowledgement.
What Gets Recorded?
Each acknowledgement captures:
| Data | Description |
|---|---|
| Your Name | The typed signature you entered. |
| Timestamp | Exact date and time. |
| Policy Version | The specific version you acknowledged. |
| IP Address | For audit purposes (not displayed to you). |
Annual Renewal
Some policies require annual re-acknowledgement:
- Even if the policy hasn’t changed, you may need to sign again.
- You’ll see a notice that renewal is required.
- The process is the same as the initial acknowledgement.
If you see “Renewal Required” on a policy, acknowledge it promptly to maintain your Green status.
Finding Policies That Need Action
Quick ways to identify policies requiring acknowledgement:
- Dashboard — The “Action Required” card lists pending policies.
- Policies Page — Look for items marked “Not Acknowledged” or “Renewal Required”.
- Status Color — Orange status often means policy acknowledgements are due.
Troubleshooting
| Issue | Solution |
|---|---|
| Can’t see the Acknowledge button | You may need to scroll down or view the full document first. |
| Name not accepted | Ensure it matches your profile name exactly. |
| Already acknowledged but showing again | A new version was released — review and re-acknowledge. |
