Swapping Shifts

Life happens. When you can’t make an assigned shift, the Swap feature lets you trade with another team member.

How Swaps Work

  1. You initiate — Request to trade your assignment.
  2. Someone accepts — Another member claims your shift.
  3. Automatic update — The schedule reflects the change instantly.

Swaps don’t require approval from Leadership. They’re designed to be quick and frictionless while maintaining full audit visibility.

Requesting a Swap

Step 1: Find Your Assignment

Navigate to Schedule and locate the service where you’re assigned.

Step 2: Open the Swap Dialog

Click on your assignment, then select “Request Swap” or the swap icon.

Step 3: Choose Swap Type

If you have multiple assignments on the same weekend (e.g., Saturday and Sunday), you’ll see options:

Full Weekend (Recommended)
Bundles all your weekend assignments into a single request. This is best if you’re away for the entire weekend.

This Shift Only
Requests coverage for just the specific assignment you clicked.

Step 4: Add a Note (Optional)

Include a brief reason if helpful (e.g., “Out of town this weekend”).

Step 5: Submit

Your request is now visible to other team members.

Accepting a Swap

When another member requests a swap, you’ll see it in the Swap Inbox on your schedule.

Individual Requests

Single shift requests appear as standalone items. Click “Accept” to take the assignment.

Weekend Bundles

Requests for a full weekend are grouped together under a “Weekend Bundle” header.

  • Take Full Weekend: Accepts ALL assignments in the bundle with one click.
  • Take This Shift: Allows you to accept just one specific shift from the bundle if you can’t cover the whole weekend.

Only accept swaps you can actually cover. Once accepted, the assignment is yours.

Tracking Swap Status

Check the status of your swap requests in the Inbox:

StatusMeaning
PendingWaiting for someone to accept.
CompletedAnother member accepted your swap.
CancelledYou withdrew the request.

Cancelling a Swap Request

Changed your mind? If your swap hasn’t been accepted yet:

  1. Go to the pending swap request.
  2. Click “Cancel Request”.
  3. Your original assignment is restored.

Tips for Successful Swaps

  • Request early — The sooner you request, the more likely someone can cover.
  • Full weekend swaps — Use “Full Day” if you’re out for the whole weekend.
  • Reciprocate — Accept others’ swaps when you can. It builds team trust.

What Leadership Sees

Squad Leads and Admins have full visibility into swap activity:

  • Who requested swaps
  • Who accepted
  • When changes occurred

This ensures accountability without slowing down the process.
