Swapping Shifts

Life happens. When you cannot make an assigned service, the Swap feature lets you trade with another safety team member.

How Swaps Work

  1. You initiate — Request to trade your assignment.
  2. Someone accepts — Another member claims your assignment.
  3. Automatic update — The schedule reflects the change instantly.

Swaps do not require approval from leadership. They are designed to be quick and frictionless while maintaining full audit visibility.

Requesting a Swap

Step 1: Find Your Assignment

Navigate to Schedule and locate the event where you are assigned. You can hover over your event card and click the swap icon, or click into the event and select “Request Swap.”

Step 2: Choose Who Receives the Request

You have two paths:

Open Request (Anyone) This is the default. Your swap request is posted to all organization members’ inboxes so anyone available can pick it up.

Send to Specific Person Select a specific safety team member from a searchable member list. The request goes directly to their inbox as a Direct Request.

Step 3: Weekend Bundle (If Applicable)

When you have multiple assignments on the same weekend, the platform auto-detects this as a Weekend Bundle. You will see radio buttons offering:

  • Full Weekend — Bundles all your weekend assignments into a single request. Best if you are away for the entire weekend.
  • This shift only — Requests coverage for just the specific assignment you selected.

Step 4: Add a Note (Optional)

Include a brief note if helpful (e.g., “Out of town this weekend”). This note is visible to the person who accepts.

Step 5: Submit

Your request is now posted. Depending on your choice in Step 2, it will appear in inboxes as either an open request or a direct request.

The Swap Inbox

Your Swap Inbox is accessible from the schedule and is divided into two sections:

Direct Requests

These are swap requests sent to you specifically by another safety team member. For each request, you can:

  • Accept — Take the assignment. The schedule updates immediately.
  • Decline — Pass on the request. It returns to the requester.

Open Requests

These are swap requests posted by any member in your organization. For each request, you can:

  • Take — Claim the assignment.

Weekend bundles appear grouped with a “Take Full Weekend” button so you can accept all assignments in the bundle at once.

Only accept swaps you can actually cover. Once accepted, the assignment is yours.

Tracking Swap Status

Check the status of your swap requests in the Inbox:

StatusMeaning
PendingWaiting for someone to accept.
ApprovedAnother member accepted your swap and the schedule has been updated.
DeclinedThe specific person you sent a direct request to declined.
CancelledYou withdrew the request before it was accepted.

Cancelling a Swap Request

Changed your mind? If your swap has not been accepted yet:

  1. Go to the pending swap request.
  2. Click “Cancel Request”.
  3. Your original assignment is restored.

Tips for Successful Swaps

  • Request early — The sooner you request, the more likely someone can cover.
  • Full weekend swaps — Use the Weekend Bundle option if you are away for the entire weekend.
  • Reciprocate — Accept others’ swaps when you can. It builds team trust.

What Leadership Sees

Squad Leads and Organization Admins have full visibility into swap activity:

  • Who requested swaps
  • Who accepted
  • When changes occurred

This ensures accountability without slowing down the process.
