Managing Patrol Logs

While all Team Members can create logs and attach updates, specialized actions exist for Leadership and Organization Administrators.

Managing Categories (Org Admins)

To ensure Patrol Logs remain organized and relevant to your organization, administrators must configure standardized Categories.

1. Navigate to Admin > Patrol Log Categories (at /admin/patrol-log-categories).
2. From the Category Manager card, admins can define new tags (e.g., Suspicious Activity, Maintenance).
3. Assign a specific color to the category for quick visual identification.
4. Capacity Warning: To prevent visual clutter, organizations are capped at 6 active categories at any given time. If you hit this limit, you must toggle an existing category to Inactive before creating a new one.

Resolving Logs

When an issue identified in a Patrol Log has been completely addressed (e.g., a maintenance spill is cleaned up), Leadership (Coordinators or Squad Leaders) can formally resolve it.

1. Open the Patrol Log from the list view.
2. Click Mark Resolved.
3. A dialog will prompt for mandatory Resolution Notes. Document the corrective action taken.
4. Once confirmed, the log’s status immediately updates to RESOLVED and remains in your organization’s history for compliance reporting.

Escalating to Incidents

Sometimes, a routine observation worsens into a severe event. In these cases, Leadership can instantly escalate a Patrol Log to an Incident.

1. Open the Patrol Log.
2. Click the red Promote to Incident action button.
3. Confirm the escalation warning.
4. The system will automatically convert the record into a formal Incident Report, retaining all previous context, the original reporter, and the timeline of events. The Patrol Log itself will be marked ESCALATED.

[!WARNING] Escalating a Patrol Log is a permanent action. It immediately initiates the formal incident workflow process.
