Finding Coverage (Squad Leads)

As a Squad Lead, ensuring your roster is fully staffed is a primary responsibility. This guide explains how to identify gaps and find coverage.

Viewing Staffing Gaps

  1. Navigate to your Squad Dashboard.
  2. Review the Upcoming Assignments list.
  3. Look for unfilled positions or “Open” slots.

The system highlights gaps based on your required post configuration.

Managing Swap Requests

When a member requests a swap or drops a shift:

  1. You receive a notification.
  2. The shift appears in the Pending Swaps pool.
  3. Other qualified members can see and pick up the shift.

[!NOTE] The system handles the logistics of the swap. Your role is to monitor and ensure the shift eventually gets filled.

Filling Open Shifts

If a shift remains open:

  1. Assign a Reserve: You can manually assign a Reserve member to the slot.
  2. Blast Request: (If configured) Send a coverage request to all available members.
  3. Double Duty: Assign a member from an earlier service to stay late (confirm with them first!).

Managing Call-Outs

If a member calls out last minute:

  1. Open the assignment in the schedule.
  2. Remove the member (or mark as “Call Out”).
  3. Reassign the slot immediately to an available member or yourself.

Best Practices

  • Check Early: Review the upcoming weekend on Monday/Tuesday.
  • Encourage Swaps: Teach your team to use the “Swap” feature rather than just texting you.
  • Maintain Reserves: Keep a list of reliable Reserve members who can fill in on short notice.
