Finding Coverage (Squad Leads)

As a Squad Lead, ensuring your roster is fully staffed is a primary stewardship responsibility. You use the same Schedule page as every safety team member, but with management actions unlocked for events under your care.

All features described on this page are available to Squad Leads and Organization Admins. Standard safety team members will not see these management actions.

When you click into an event on the schedule, you see the full Event Detail Page with management capabilities.

Tabs

The detail page is organized into three tabs:

Attending (count)Lists safety team members who have confirmed attendance.
Checklists (count)Event checklists for setup, procedural, or teardown tasks.

Open Positions

Any unfilled posts are highlighted in amber at the top of the Roster tab. Each open position shows two action buttons:

  • Claim — Assign yourself to the open post.
  • Assign — Open a searchable member-select dialog to assign another safety team member.

Assigned Duty Roster

Below open positions, you will see the full roster of assigned safety team members and their posts. Each member row includes a dropdown menu with options:

  • Unassign — Remove the member from this post (the post becomes an open position).
  • Remove — Remove the member from the event entirely.

Floating / Support Section

Some events include Floating or Support assignments for safety team members who are not tied to a specific post. These appear in their own section on the Roster tab.

Creating Events

To add a new event to the schedule:

  1. Click the + button on the schedule page.
  2. Fill in the event details: Name, Description, Date, Time, and Type (Service, Program, Special, or Training).
  3. Select the required posts for the event.
  4. Save the event. It will appear on the schedule for all safety team members to see.

Managing Checklists

The Checklists tab on the Event Detail Page lets you manage task lists associated with an event.

You can:

  • Mark items complete or skipped as your team works through them.
  • Assign checklist items to specific safety team members.
  • Add notes to individual checklist items for context or follow-up.

Checklists are configured by your Organization Admin. If you need a new checklist template, reach out to your admin team.

Managing Call-Outs

When a safety team member calls out, you handle it from the Event Detail Page:

  1. Open the event and go to the Roster tab.
  2. Find the member in the roster and open their dropdown menu.
  3. Select Unassign or Remove.

What happens next depends on the assignment type:

  • Post assignment — The post becomes an open position (amber highlight), ready to be claimed or reassigned.
  • Floating / Support assignment — The assignment is deleted from the event.

After removing the member, you can immediately assign a replacement using the Assign button on the now-open position.

Monitoring Swap Requests

When a safety team member requests a swap:

  1. The assignment appears in the Pending Swaps pool.
  2. Other qualified members can see and pick up the assignment.
  3. You have full visibility into all swap activity for your squad.

The platform handles the logistics of the swap. Your role as a watchman is to monitor and ensure the assignment gets filled.

Best Practices

  • Check early — Review the upcoming weekend by Monday or Tuesday.
  • Encourage swaps — Teach your team to use the Swap feature rather than just texting you.
  • Maintain reserves — Keep a list of reliable reserve members who can fill in on short notice.
  • Use checklists — Assign checklist items before the event so your team knows their responsibilities in advance.
