Viewing Member Details
Every roster entry links to a detailed member profile where you can review and manage a Safety Team member’s information, compliance status, and confidential notes.
Accessing a Profile
- Navigate to the Roster page.
- Click the Edit link in the Actions column for the member you want to view.
- The full profile opens in a new view.
The Edit link is only visible to leadership roles (Coordinator, Safety Leadership, Organization Admin). Safety Team members with the Member role do not see this link.
Profile Form Sections
The member profile is organized into the following sections:
Profile Information
Core identity fields for the Safety Team member:
- First Name — Legal first name.
- Last Name — Legal last name.
- Preferred Name — The name displayed throughout the platform (the “goes by” name).
- Email — Primary contact email, also used for login.
- Phone — Contact phone number.
Account and Access
- Account Status — Current status (Active, Reserve, LOA, Deferred, Inactive, Ineligible).
- Role — The member’s assigned role within the platform.
Notification Preferences
Controls for how the member receives alerts and communications from the platform.
Firearms Authorization
- Authorization Type — The type of firearms authorization held (e.g., Concealed Carry, Law Enforcement, or NONE).
- Is Authorized — Whether the member is currently cleared to carry.
Compliance Requirements
A dynamic list of compliance items specific to your organization’s configuration. Each item shows its current status and expiration date. See Compliance Tracking for more detail on how these work.
Administrative Actions
- Send Invite — Re-send the invitation email to the member.
- Password Reset — Trigger a password reset email.

Contact Information
Contact details are visible to all Safety Team members for coordination purposes.
Contact info is visible to all team members for coordination purposes.
Squad Assignments
Lists all squads the member belongs to, with their role in each squad.
Profile Notes (Leadership Only)
Profile Notes are confidential records visible only to Organization Admin and Oversight roles. They appear in an amber-bordered card with a lock icon and a label reading “Not visible to this member.”
Profile Notes are not visible to the member whose profile you are viewing. They are intended for leadership documentation only.
You can use Profile Notes for interview observations, performance documentation, pastoral concerns, or any sensitive context that leadership needs to track.
Adding a Note
- Click the Add Note button within the Notes section.
- Enter your note text in the dialog.
- Optionally attach a file (encrypted at rest, up to 10 MB).
- Save the note.
Note Details
Each note displays:
- Author — Who wrote the note.
- Timestamp — When the note was created.
- Attachment — A downloadable link if a file was attached.
Deleting a Note
Only the original author of a note or a Platform Admin can delete it. This protects the integrity of leadership records.

What You Can Do
Your available actions depend on your role:

| Squad Lead | View, add to squad |
| Coordinator | View, edit contact info, update compliance dates |
| Leadership / Organization Admin | Full edit access, change status, manage notes |
