Creating a POC (Leadership Only)
Creating a new Person of Concern (POC) record is a responsibility limited to safety leadership and coordinators. This guide outlines the process.
When to Create a POC
Create a profile when an individual:
- Has been issued a Criminal Trespass Warning (CTW).
- Has demonstrated behavior requiring ongoing monitoring (Watch).
- Has been explicitly banned by church administration.
- Is a known sex offender attending services (manage per policy).
Step-by-Step Creation
- Navigate to the POCs section.
- Click the New POC (or +) button.
- Basic Info: Enter Name and Status (WATCH, WARNED, CTW, or BANNED).
- Description: Fill in as much physical detail as possible.
- Photos: Upload a clear face photo. This is critical for team recognition.
- Vehicle: Enter vehicle details if known.
- CTW Fields (if status is CTW): Enter the CTW issued date, expires date, case number, recording authority, and link the related CTW incident.
- Click Create.
Linking Incidents
Incidents are linked to a POC from the incident side, not from the POC profile. When adding updates to an incident, you can use the Link POC action to associate a Person of Concern.
The POC detail page displays all linked incidents as a read-only list. You cannot add or remove incident links from the POC profile directly.
Best Practices
- Photos are Key: A name without a face is often useless to a volunteer team. Prioritize getting a visual.
- Objective Descriptions: Use objective language in behavior descriptions. Avoid emotional or subjective labels.
- Update Frequently: If a subject’s appearance changes (beard, hair color), update the profile details.
