Compliance Approvals

The Compliance Approvals queue is where you review proof documents and questionnaire responses submitted by Safety Team members. When a member uploads a certification, completes a background check questionnaire, or submits any other compliance requirement, it appears here for your review.

Admin & Oversight only: Only Organization Admins and Oversight roles can approve or reject compliance submissions. This restriction is enforced at the server level. You can also approve or reject items from an individual member’s profile in the Roster.

The Approvals Table

The queue displays all pending submissions sorted oldest first, so items waiting the longest appear at the top. Each row includes:

MemberAvatar and name, linked to the member’s roster profile.
RequirementThe compliance item name with a type badge (e.g., Document Upload, Questionnaire).
TrackThe compliance track this requirement belongs to, or “Org-wide” if it applies to all members.
SubmittedThe date the member submitted the item for review.
ProofLink to view the submitted document or questionnaire response.
ActionsApprove or Reject buttons.

Viewing Submitted Proof

How the proof opens depends on what the member submitted:

  • Document uploads (PDFs, images) — Open in a new browser tab so you can review them alongside the approvals queue.
  • Questionnaire responses — Open in a side panel directly on the page, displaying the rendered questions and the member’s answers.

Approving a Submission

  1. Review the submitted proof carefully.
  2. Click Approve.
  3. The requirement status changes to Valid immediately.

What happens next: The platform evaluates whether this approval completes an entire phase of the member’s compliance track. If all requirements in a phase are now met, the member automatically advances to the next phase. An audit log entry is created for every approval.

Rejecting a Submission

If a submission does not meet the requirement, you must reject it with a reason so the member knows what to correct.

  1. Click Reject.
  2. A dialog appears with a required reason field — explain what needs to be corrected.
  3. Confirm the rejection.

What happens next:

  • The requirement status resets to Missing.
  • The member receives a notification with your reason and a direct link to resubmit.
  • An audit log entry is created recording the rejection and your stated reason.

Be specific in your rejection reason. A clear explanation like “CPR card is expired — please upload your renewed certification” helps the member resolve the issue quickly and reduces back-and-forth.
