Understanding Expiration Dates
Many compliance requirements have expiration dates. This guide explains how the system tracks expirations and notifies you before items lapse.
How Expiration Works
When a compliance item is marked Valid, it may have an associated expiration date. Common examples include:

| CPR/First Aid Certification | 2 years |
| Firearms Qualification | 1 year |
| Background Check | 3 years |
| Annual Policy Acknowledgement | 1 year |
[!NOTE] Renewal periods are set by your organization. Check with your leadership for specific requirements.
The 30-Day Warning
The system monitors all expiration dates and notifies you 30 days before an item expires:
- Your readiness state changes from 🟢 Green to 🟡 Yellow.
- An email notification is sent (if enabled in your preferences).
- The item is highlighted in your My Profile compliance list.
This gives you time to renew the certification before it lapses.
What Happens When an Item Expires
If an item passes its expiration date without renewal:
- Your readiness state changes to 🟠 Orange.
- The item status shows Expired.
- You may see an Action Required card on your dashboard.
[!IMPORTANT] An expired item does not automatically prevent you from serving. N4 Safety uses a “High Awareness, Low Automation” philosophy. However, your leadership will be aware of your status.
Tracking Multiple Items
If you have multiple compliance items:
- The system shows the most urgent status (the item expiring soonest).
- All items are listed individually in your profile.
- You can address them in any order.
Staying Ahead of Expirations
- Check your profile monthly to review upcoming expirations.
- Use the calendar reminder when you renew a certification.
- Upload new proof as soon as you complete a renewal.
