Adding a New Member (Admin Only)

Adding a new member creates their account and begins the onboarding process. This guide covers the administrative workflow.

Overview of Onboarding

N4 Safety uses a compliance-driven onboarding approach:

  1. Admin Creates User — Basic profile info entered.
  2. User Invited — Email sent with login credentials.
  3. Applicant Completes Requirements — Questionnaire, background check, etc.
  4. Leadership Reviews — Coordinator/Admin verifies all items.
  5. Promotion — User role changed from Applicant to Member.

New users start as Applicants with limited access until they complete all onboarding requirements.

Step-by-Step: Creating a New User

1. Navigate to Roster

Go to the Roster page and click Add Member (or the + button).

2. Enter Basic Information

3. Submit & Invite

Click Submit to:

  • Create the user account
  • Assign the Applicant role
  • Assign the Onboarding compliance track
  • Send an invitation email with login instructions

What the Applicant Sees

After receiving the invite, the new applicant can:

  • ✅ Log in to the system
  • ✅ View their “My Onboarding” dashboard
  • ✅ Complete assigned requirements (questionnaire)
  • Cannot view Roster, Bulletins, Events, or Operations

The Onboarding Compliance Track

The Onboarding track typically includes:

All onboarding items must be marked Valid before the user can be promoted to Member.

Promoting to Member

Once all requirements are satisfied:

  1. Open the applicant’s profile.
  2. Click Edit.
  3. Change Role from Applicant to Member.
  4. Change Status to Active (if not already).
  5. Assign to appropriate Squads.
  6. Click Save.

The new member now has full operational access.

Best Practices

  • Complete Vetting First — Don’t skip background checks.
  • Add to a Squad — New members should be assigned for mentoring.
  • Welcome Personally — Consider an in-person or call introduction.
  • Review Compliance Status — Ensure all required items are on their track.
