Adding a New Member

Adding a new Safety Team member creates their account and begins the onboarding process. The platform offers two paths depending on what your situation requires.

Only Organization Admin and Oversight roles can create new members.

Two Creation Paths

Quick Invite (From the Roster Page)

The fastest way to bring someone onto the team. You stay on the roster page and a dialog handles everything.

  1. Navigate to the Roster page.
  2. Click the Create member button.
  3. Fill in the invite dialog:

  1. Click Submit.

The platform will:

  • Create the account with Applicant status.
  • Send an invitation email with login instructions.

Full Create (Via /roster/new)

For situations where you need to set up a complete profile from the start — including compliance tracks, a temporary password, and all profile fields — navigate directly to the full creation form.

  1. Go to /roster/new in your browser (or follow the link from your admin tools).
  2. Complete all profile sections: identity, contact, role, compliance tracks, and password.
  3. Click Save.

This path creates the member directly without sending an invite email, which is useful when you are setting up accounts in person or during a bulk onboarding session.

Overview of Onboarding

N4 Safety uses a compliance-driven onboarding approach:

  1. Account Created — Basic profile info entered via either path above.
  2. Applicant Invited — Email sent with login credentials (Quick Invite path).
  3. Applicant Completes Requirements — Questionnaire, background check, etc.
  4. Leadership Reviews — Coordinator or Organization Admin verifies all items.
  5. Promotion — Role changed from Applicant to Member.

New members start as Applicants with limited access until they complete all onboarding requirements.

What the Applicant Sees

After receiving the invite, the new applicant can:

  • Log in to the platform.
  • View their “My Onboarding” dashboard.
  • Complete assigned requirements (questionnaire).
  • Cannot view Roster, Bulletins, Events, or Operations.

The Onboarding track typically includes:

All onboarding items must be marked Valid before the applicant can be promoted to Member.

Promoting to Member

Once all requirements are satisfied:

  1. Open the applicant’s profile.
  2. Change Role from Applicant to Member.
  3. Change Status to Active (if not already).
  4. Assign to appropriate Squads.
  5. Click Save.

The new member now has full operational access and can begin serving with the team.

Best Practices

  • Complete Vetting First — Do not skip background checks. This is a stewardship responsibility.
  • Add to a Squad — New members should be assigned promptly for mentoring.
  • Welcome Personally — Consider an in-person or phone introduction.
  • Review Compliance Status — Ensure all required items are on their track.
