Editing Member Status (Admin Only)
Changing a member’s account status is a significant action with automatic side effects. Only Organization Admins and Safety Leadership can perform status changes.
Account Status Types
| Status | Login? | Description |
|---|---|---|
| Active | ✅ Yes | Fully active member |
| Reserve | ✅ Yes | Available for sporadic duty |
| Leave of Absence | ✅ Yes | Temporarily away, good standing |
| Deferred | ❌ No | Did not complete application/selection |
| Inactive | ❌ No | Former member or long-term inactive |
| Ineligible | ❌ No | Disqualified for cause (Admin only) |
Changing status to a non-active state triggers automatic cleanup of squad memberships and assignments. Review the details below so you understand exactly what happens.
How to Change Status
- Navigate to the Roster and open the member’s profile.
- Locate the Account Status dropdown in the Account and Access section.
- Select the new status.
- Click Save.
Automatic Side Effects
When a member’s status changes to any non-active state (Reserve, LOA, Deferred, Inactive, Ineligible), the platform performs the following cleanup:
- Squad Memberships Removed — All squad memberships are removed.
- Assignments with a Post — The member is removed from the assignment, creating an open slot that leadership can fill. The assignment itself is preserved so coverage gaps are visible.
- Floating Assignments (No Post) — Assignments that are not tied to a specific post are fully deleted.
Reserve and LOA members can still be manually assigned by Squad Leads and can log in to accept swap requests. The automatic cleanup only removes scheduled rotational duty.
Setting Ineligible Status
The Ineligible status is the “hard block” designation for members disqualified for cause.
- Only Organization Admins can set this status.
- The member loses login access immediately.
- This action is audit logged.
- Consider documenting the reason in a confidential note.
Best Practices
- Document Reasons — Add a confidential note explaining why the status changed.
- Communicate First — Unless urgent, notify the member before changing their status.
- Review Assignments — Check the impact on upcoming coverage before making changes.
- Use LOA for Temporary Absences — Preserve the member’s good standing for expected returns.
Restoring Active Status
To reactivate a member:
- Change their status back to Active.
- Manually reassign them to appropriate squads.
- Verify their compliance items are still valid.
Audit Trail
All status changes are logged with:
- Who made the change
- When it occurred
- Previous and new status
