Pending Review Status
After you upload a proof document, the compliance item enters a Pending Review state. This guide explains what to expect during the review process.
The Review Workflow
- You Upload: You submit a document for a compliance requirement.
- Notification Sent: Your safety leadership receives a notification.
- Leadership Reviews: A coordinator or leader examines your submission.
- Decision Made: The item is either Approved or Rejected.
What “Pending Review” Means
While an item is pending review:
- It is not counted as Valid for readiness purposes.
- Your overall readiness may still show 🟠 Orange or 🟡 Yellow.
- You cannot upload a replacement document until the review is complete.
[!TIP] If your item has been pending for an extended period, reach out to your squad lead or coordinator.
Approval
When your document is approved:
- The item status changes to Valid.
- The new expiration date (if applicable) is recorded.
- Your readiness state is recalculated.
- You may receive a confirmation email.
Rejection
If your document is rejected:
- You’ll see a Rejected status with a reason.
- The item reverts to its previous state (Expired or Missing).
- You can upload a new document to try again.
[!NOTE] Common rejection reasons include: illegible documents, missing information, or expired credentials on the document itself.
How to Respond to a Rejection
- Read the rejection reason in your profile.
- Obtain a corrected or updated document.
- Re-upload following the Uploading Proof Documents guide.
Processing Time
Review times vary by organization and leadership availability. Typical turnaround is 1-5 business days. If you have an urgent need (e.g., an upcoming assignment), contact your leadership directly.
